PRACTICE MANAGER – MATERNITY CONTRACT

We are looking for maternity cover for our part-time Practice Manager role. Please note that this is a fixed-term contract of a minimum of 26 weeks to a maximum of 52 weeks for a part-time role of 20 hours per week. Any changes to the length of the contract will be given with 8 weeks’ notice.

Fixed hours on reception:
Mondays – 8am-1pm
Thursdays – 8am-1pm
Remaining 10 hours are flexible. Currently taken on Wednesdays 1pm-6pm & Fridays 8am-1pm

Person & Role Requirements

Applicants should:

  • Be passionate about our core services: Chiropractic, Massage, Acupuncture, Nutritional Therapy, Yoga and Pilates.
  • Be a quick learner, multi-tasker and be able to take initiative and be proactive with new ideas, learnings and concepts.
  • Be positive, enthusiastic, personable and friendly
  • Be passionate, intelligent and knowledgeable regarding the alternative therapy industry – always willing to learn more and quickly!
  • Be fluent in both written and verbal English language with a personable email tone
  • Be attentive, articulate and well-presented
  • Have a concern for patient care and an emphatic nature
  • Have previous experience in customer services, administration & team management (min 1yrs experience)
  • Have adequate mathematical skill to deal with payroll, register and book keeping.
  • Have an adequate understanding of using data, a willingness to learn more, and be part of the strategy development with the leadership team.
  • Have a strong commitment to patient care and privacy guidelines
  • Have a very keen attention to detail
  • Have a strong background with Microsoft Word and Excel. Previous experience with the Mindbody and Cliniko booking systems would also be very helpful.

Responsibilities:
Reception duties include, but aren’t limited to;

  • Answering emails, phone calls and booking appointments
  • Checking students in for appointments & classes
  • Making sales & taking payments
  • Dealing with patient enquiries, including education
  • Undertaking basic administrative work - patient privacy is a crucial issue in all aspects (verbal, filing, communication, etc.)
  • Reporting and other financial aspects of the business
  • General housekeeping; keeping the communal areas tidy and presentable

Manager duties include, but aren’t limited to;

  • Managing the Reception Team (4), Teachers (13) & Practitioners (6)
  • Resolving client issues referred by the team
  • Undertaking clinic finance duties, including weekly reporting
  • Understand and take on business data and insights and turn it into learnings and/ or strategy to help grow the business.
  • Actioning monthly staff payroll
  • Managing stock levels; including retail products, office & clinic supplies
  • Overseeing clinic room hire
  • Care of honoroakwellnessrooms.com. Experience using Squarespace would be helpful.
  • Undertaking the marketing of the clinic through email, blogs, social media channels and local forums. Experience with Mailchimp, Instagram and Later.com would be helpful.
  • Creating and managing internal & external Wellness Rooms events
  • Curating and publishing The Honor Oak Wellness Rooms Health & Wellness blog. There is also the opportunity to contribute your own writing.
  • Be a general all-rounder and problem solver for the clinic.

CHIROPRACTIC ASSOCIATE

We are looking for an enthusiastic and friendly Chiropractic Associate to join our busy multi-disciplinary practice in Honor Oak. We are a growing practice with a close-knit team of practitioners, teachers and wellness enthusiasts.

This is a part-time role with the opportunity to also locum for additional hours. With the right candidate it has the potential to become a full-time position in the future. This is an opportunity to be self-employed (with percentage based earnings) in London.
